General Information

Who or what is OSHGroup?

OSHGroup provides specialist occupational health and safety services for workers, employers and insurers. This can include medical assessments (such as pre-employment or work related medicals), injury management services for injured workers, Independent  Medical  Examinations (IME), medico-legal services  for  workers  who  sustain  injuries  in the  workplace  and  Fitness for Work (FFW) assessments  for  new  and  returning  workers.

Our team of medical examiners and practitioners are  experts  in  this  field,  offering  the  best  opportunity  for  optimal  occupational  health  and  safety outcomes.

 

How do I get to my appointment?

What if I am running late for my appointment?

If you are running late, please let the clinic that you are attending know as soon as possible.

Please be aware that if you are more than 15-minutes late we may not be able to proceed with your consultation. 

 

What should I wear?

Please wear comfortable clothes that you can easily move in. 

If you are completing a physical assessment you must wear closed in shoes.

There are changing facilities available at each of our locations.

 

Can I change or cancel my appointment?

This depends on the type of appointment you are attending. We recommend that you speak to your employer/prospective employer/insurer/legal team with any requests to change or cancel your booking.

 

Do I get a copy of my results/report?

All reports and results will be provided to the requesting party (such as your insurer, your legal team or employer).

If you would like to request access to your results please contact OSHGroup to obtain an ‘Access to Medical Records’ form (which includes fees for release of documentation).

Please note that once this application is received we will assess your request and respond to you with an outcome.

 

Can I bring someone with me?

You are welcome to be accompanied by another person to the OSHGroup office. It is at the medical examiner’s discretion if they allow that person to be present during the actual assessment. If they are allowed to be present, they can only actively participate if invited to do so by the medical examiner. If they disrupt the assessment they will be asked to leave the assessment.

It is preferable that the assessment is conducted without children present. Please make appropriate arrangements for children to be cared for by another person.

Additional Patient Information – Medical Assessment Appointment

 

What do I need to bring?

Please bring the following to your appointment:

  • Photo identification (such as a valid drivers’ licence or passport);

  • Details of all prescribed medications;

  • Glasses, contact lenses or hearing aids if used;

  • Details regarding your medical history (including current or previous medical conditions or injuries). This may include recent blood test results, GP reports, imaging results or medical certificates;

  • Closed in shoes (as you may be required to complete a physical assessment);

  • If you need to fast for your assessment, bring a snack to have after your blood test.

 

What do I need to do to prepare?

If you are having a drug and alcohol test, it is important that you do not drink excessive amounts of water (no more than 300ml per hour).

Do not expose yourself to noise levels above 80dB(A) for 16 hours prior to your appointment. This means avoiding noise that is louder than a vacuum cleaner.

If you need to fast for your appointment you will be advised when the booking is made. During the fasting period (8-10 hours before your appointment) you may only have sips of water – no gum, coffee, juice, food, lollies etc. If you are diabetic please contact OSHGroup to discuss.

If your booking includes respirator fit testing please attend clean shaven or contact the clinic regarding facial hair requirements prior to your appointment.

 

What will happen during my appointment?

Once you arrive at the clinic, if you haven’t already completed paperwork you will be given a series of forms to complete, and the reception staff will check your photo ID.

Once the paperwork is completed, you will see an Occupational Health Technician who will complete a number of assessments. This varies depending on the type of medical that you are having but typically includes anthropometric measurements (such as height and weight), a vision assessment, hearing test, lung function test, urinalysis and drug and alcohol test.

If you are having a physical assessment you will then see a member of the Allied Health Team who will complete this part of your medical. You will be required to do a variety of activities which may include a fitness test, flexibility testing, strength testing and a manual handling assessment.

Finally, you will see the doctor who will review all of your paperwork, your previously collected results, and will assess you against the job role that has been provided to us.

 

What will happen after my appointment?

If further information is required before we can finalise your medical we will provide you with a Review Request letter that you can take to your GP or specialist. This letter will outline what is needed and where to send it – please note that we are unable to progress your results until this information is received. This letter may be given to you at the time, or we may email it to you after the appointment. Our team will be in touch regularly to see how you are going with getting this information.

You may be referred for extra testing after your initial appointment – our team can assist with coordinating what is required. Please note that we are unable to progress your results until this extra testing is completed.
If there are any issues we think you should follow-up on for your general health and wellbeing, but won’t affect your results, we will provide you with a Duty of Care letter that you can take to your doctor. We do not need anything back from you about this letter.

If you complete your medical at one of our affiliate clinics, the process varies slightly:

  • Once your appointment is over, the results will be sent from the affiliate clinic to OSHGroup;

  • Your results will be reviewed by an OSHGroup doctor who will finalise the medical or request extra information. Following this review we may be in touch with a request for additional information.

 

How long will the appointment take?

The length of time that you are in the clinic will depend on how many assessment components you will need to complete. Generally we recommend that you allow 1-1.5 hours for your medical assessment appointment. If you are having a physical capacity or functional assessment as well please allow an extra 30-60 minutes.

Patient Information – Medico-legal, Independent Medical Examination, Fitness for Work and Injury Management Appointments

 

What do I need to bring?

In most cases, you have been referred to OSHGroup for an appointment which has been scheduled for you by either an insurance company, employer, government regulator or body, or legal representative because of a related medical condition or injury.

This may relate to an insurance claim, workers’ compensation claim, salary continuance or your fitness for work.

The reason for the appointment is to provide an independent medical assessment of your injury, condition or fitness for work to the organisation that has referred you for the appointment.

 

What is an Independent Medical Examination or Fitness for Work Assessment?

If an employer or insurer has requested an Independent Medical Examination assessment or Fitness for Work assessment, they want to understand the nature and extent of your injury or your capacity to perform the inherent requirements of a role.

It is important that these assessments are conducted by a medical examiner who is not employed within the organisation who referred you. An OSHGroup medical examiner will independently evaluate your medical condition and provide a detailed report to the referring organisation.

After the assessment is completed, the medical examiner will compile a report from all the personal and medical information obtained and this will be provided to the referring party.

The medical examiner’s duty is to provide a detailed report on your condition. No treating relationship is formed so they cannot discuss treatment or ongoing care options with you.

 

What does an Independent Medical Examination involve?

The medical examiner will ask a series of questions and conduct a physical examination of your injury or condition, if applicable. If a physical examination is required, it may be necessary for you to remove some clothing.

A typical evaluation will include details of your medical history, pre-existing conditions, employment, specific work tasks, as well as your activities outside of work. You may think that some of the questions seem irrelevant, but this is to enable the medical examiner to establish a comprehensive history and understanding of your medical condition or injury.

It is your responsibility to answer questions with detail and clarity, so that the medical examiner can accurately determine your condition.

IME appointments can last up to an hour, in some instances longer and can feel more structured and formal than your ordinary GP visit.

 

What does a Fitness for Work assessment involve?

The medical examiner will assess your medical history and physical or mental condition, similar to an Independent Medical Examination, with the  aim  of  determining  your  capacity  to  work  safely  in  a  particular  role. These evaluations consider specific job demands and may involve functional assessments or other injury management services.

The outcome of a Fitness for Work assessment is a formal opinion detailing fitness for duty along with any necessary restrictions to ensure the best possible outcome for both the worker and employer.

 

What is an Occupational Physician?

An Occupational Physician is a highly trained specialist providing services relating to employment and workplace illness or injury. Occupational Physicians provide opinions on fitness for work, work-relatedness of conditions, impairment assessments and risk reduction in the workplace.

To become an Occupational Physician, practitioners must complete a medical degree, followed by at least 3 years of general medical experience and post-graduate training before joining an intensive registrar training program under the mentorship of other Occupational Physicians.

 

The referral letter says I have to bring all my imaging but they are all online, what do I do?

Please let us know the name of the imaging provider that you went to so we can access the information directly from them once we have received your consent to do so.

 

What do I need to do to prepare for my appointment?

We will have received a referral from your employer, insurer or legal team before your appointment. Please bring any related imaging, specialist letters and a list of medications to your appointment. If you don’t bring this information there may be a delay in finalising the report from your appointment.  

If you are having a Medico-legal Consultation or Independent Medical Examination (IME) please call our rooms at least 3 business days prior to your appointment to confirm your attendance.

 

What should I wear?

Please wear comfortable clothing and footwear.  If you are attending an Independent Medical Examination, the physical examination may require you to remove an item of clothing, for example, your shirt to examine a spinal injury, but exercise gear is not required. Be mindful of your condition and what area of the body will be assessed, and dress accordingly.

If you are attending a Fitness for Work assessment and a functional assessment is required, you may need to wear exercise clothing or your work uniform to carry out physical activities. You will be advised if this is the case.

 

How long will my appointment take?

This depends on the type of appointment you are attending. The following can be used as a guide:

  • Injury Management Appointments: 15 – 30 minutes

  • Fitness for Work Appointments: 1 – 1.5 hours

  • Medico-legal or Independent Medical Examination Appointments: 1 – 1.5 hours

 

What if I need an interpreter?

This will be arranged at the time of booking. Please speak to your contact (insurer or employer) about your requirements here.

 

Can my friend or family member interpret for me?

Please note that for medico-legal or IME consultations the interpreter has to be unknown to the patient (ie your friends or family cannot assist here).

They may be able to assist if you are having an injury management appointment or fitness for work.

 

What happens when I arrive for my appointment?

Please allow time for traffic and parking and arrive at OSHGroup at least 20 minutes before the appointment time. Please report to reception where the receptionist will ask you to verify your identity and then ask you to read and sign a consent form before the appointment can commence.

The consent form gives OSHGroup your consent for us to collect, store, use and release information, in the form of a report,  to  the  organisation  that  made  the  appointment  for  you. Please note that if you  withhold  consent, your appointment and the assessment cannot be undertaken.

 

What should I expect during my appointment?

If this is your first appointment at OSHGroup please arrive 20 minutes prior to your scheduled start time to allow time for some initial paperwork.

You will not have to pay for your appointment - your employer or insurer will cover the cost of the assessment.

The doctor will conduct an interview with you, and a physical assessment. If additional information (such as imaging) is required after this, the doctor will let you know what is needed and assist with facilitating this.

 

Can I record the consultation?

The audio recording of consultations on any type of device is not permitted and consent is not given.  In accordance with the Surveillance Devices Act 1998 (WA), it is a criminal offence to install, use or maintain a listening device to record a private conversation or private activity without consent. 

 

What happens after my appointment?

We will continue the assessment and treatment process, providing regular updates on progress.

Documentation (such as reports or certificates) will be sent to the referring party once complete. Certificates are generally issued on the day of the appointment. Reports are generally finalised 5 – 10 business days after the consultation.

Our team may also provide updates and feedback to the referring party via phone or written communication.

To make sure we continue to offer the best possible service we will sometimes ask you about your experience with us after your appointment. We welcome feedback at any time.

Can I speak to the doctor after my appointment?

Generally (with the exception of Injury Management appointments) our doctors do not establish a treating relationship with their patients and are therefore unable to speak with you after your consultation. Our reception staff can assist with passing on any messages to the practitioner after the appointment.

It is important to remember OSHGroup’s medical examiners are specialists working at the interface between work and health, and their  interest  is  to  create  the  best  occupational  health  and  safety  outcomes  for  patients  and employers. Working together with us by providing accurate and detailed information will ensure OSHGroup, along with your treating doctor and your employer can guide your case in a positive direction.

 

Who has access to the information that I have given to the medical examiner?

The information exchanged in any OSHGroup consultation will remain confidential and only be used for the purpose for which it was collected. A report will be written, which will then be submitted to the organisation that referred you for the assessment.

Please note that the report will normally be completed and provided to the referrer approximately 10 days after your appointment.
